The role

The  Admin Assistant is responsible for coordinating and executing operational processes and coordinating various projects. They are in direct contact with the Head of Operations and CEO and should maintain these relationships on a day-to-day basis. The objective of this role is to own the daily processes and administrative tasks that enable the leadership team to focus on strategic initiatives.

How you'll make an impact

Operations

  • Coordinate the client onboarding & offboarding processes including written communication, tracking, and software setup (Slack, ClickUp, Google Drive)
  • Draft and send new and updated contract agreements in Docusign
  • Calculate and build custom proposals in Google Slides
  • Coordinate the Client Anniversaries & Awards processes and the Employee Birthday and Anniversaries processes, including ordering and delivery coordination
  • Provide ideas on how to create and improve processes
  • Develop and maintain an organized virtual filing system in Google Drive

HR 

  • Review and screen candidate resumes
  • Coordinate the contractor and employee interview process
  • Manage candidate onboarding process using trackers and scheduling meetings
  • Manage HRIS, staff folders, and benefits system?

Sales & Marketing

  • Website edits 
  • Reporting & tracking

Miscellaneous

  • Organize and coordinate company events, which may include researching and booking hotels and flights
  • Coordinate various company projects with oversight
  • Manage virtual mailbox
  • Various internet research assignments

Who you are

  • High school diploma or equivalent
  • 2+ years of experience providing administrative support
  • Experience in working with a CRM (Pipedrive)
  • Working knowledge of Google products: Gmail, Google Calendar, Google Docs, etc.
  • Experience coordinating travel logistics for large groups
  • Experience prioritizing multiple tasks and activities
  • Customer service experience
  • Experience building processes for a company
  • Has organization and time management skills
  • Is detail oriented and an effective communicator

Benefits & work details

  • Part-time (core working hours between 9:00 & 3:00pm PST)
  • Virtual work environment
  • Hourly rate $15-$20/hr
